Summary

ThinkCap is a local-first app. Recordings, transcripts and notes are stored on your iPhone. ThinkCap has no server and no account, collects no analytics, and Slobal Ltd receives nothing from the app. The only time data leaves your phone is when you choose a cloud provider for transcription or summaries; the app then sends audio or transcript text to that provider, using the API key you supplied, under that provider's terms.

What the app stores on your iPhone

• Audio recordings you make or import, and smaller upload copies made for cloud transcription.
• Transcripts, generated notes, tags, projects and task completion state.
• Your settings, including the names and terms in your dictionary and the models you selected.
• Provider API keys, in the iOS Keychain, marked device-only so they do not sync through iCloud Keychain.
• A usage estimate per provider (minutes and requests over the last 24 hours), kept so the app can warn you before a free-tier limit.
• The last dictation, shared with the ThinkCap keyboard through the app's private App Group container for one hour, so it can be inserted in another app.

Everything above is inside the app's own container and, for the shared dictation, the App Group container that only ThinkCap and its keyboard can read. iOS backs the app container up with the rest of your phone if you use iCloud Backup or an encrypted local backup; upload copies are excluded from backup.

What leaves your iPhone, and when

• On this iPhone. When transcription is set to On this iPhone, audio is processed by Apple's speech recognition on the device and is not sent to Apple's servers. If offline recognition is not available for your language, ThinkCap stops and tells you rather than using a network path under that label. Summaries set to On this iPhone use Apple's on-device model and stay on the device.
• Your providers. When you choose a cloud provider for transcription, the audio of that note (or its compressed copy, or parts of it) is sent to that provider. When you choose a cloud provider for summaries, the transcript text is sent to that provider. Each request carries the API key you entered. Dictionary terms you added are sent as hints. What the provider keeps, and for how long, is governed by that provider's privacy policy and your agreement with it, not by Slobal.
• Nothing else. The app makes no other network requests. It does not contact Slobal.

The app names the destination before you choose it, shows which provider processed each note, and lets you change the route for future notes or for one note.

Permissions the app asks for

• Microphone: to record. Recording continues in the background only while a recording you started is in progress.
• Speech recognition: to transcribe on the device when you choose On this iPhone.
• Keyboard Full Access: lets the ThinkCap keyboard read the dictation the app left for it. The keyboard has no microphone access, sends nothing over the network, and does not read what you type in other apps.

What Slobal receives

Nothing from the app. If you email us for support, we receive what you write and reply from the same address; that mail is kept for as long as the conversation is useful and then deleted. If you opt in to sharing analytics and crash reports with developers in iOS Settings, Apple may pass anonymised crash logs to us through App Store Connect; those contain no recordings or notes. TestFlight testers' feedback is delivered by Apple under Apple's TestFlight terms.

Retention and deletion

Audio and notes stay until you delete them, or until the retention period you set in Privacy and storage removes the audio while keeping the note. Deleting a note removes its recording, upload copies and any dictation shared with the keyboard. Deleting the app removes everything the app stored, except provider keys in the Keychain, which iOS removes when the app is deleted and the phone is not restored from a backup that contained them. Data you sent to a provider is deleted according to that provider's rules; use the provider's own tools for that.

Children

ThinkCap is not directed at children under 16 and collects no personal data from anyone.

Your rights

Because Slobal holds no data about you from the app, there is nothing for us to access, correct, export or erase on your behalf; the app's own export and delete functions do that on the phone. You still have the rights the GDPR gives you, and you can raise a concern with the Irish Data Protection Commission at any time. Write to info@slobal.com if anything here is unclear.

Changes

This page is the current policy for the ThinkCap app. When it changes, the effective date above changes with it and the app's What's new page mentions the change.
